What’s the difference between a Session and a Job in my organization account?

Session: If you want to allocate / find and pay pay users through the app, you need to list a session.

Job: If you want pay allocate, find buy pay users outside the app, you need to list a job.

I’m a school and I want to find a coach or referee
To recruit a coach or referee, create an account and post a job. No payment details are required for this step.
If you wish to pay users through the app, create a session instead. For larger-scale fixtures, you can use our spreadsheet template to bulk upload your sessions. When paying through the app, securely add your credit or debit card details during checkout.

How does the payment system work?
After an umpire or coach completes the session, they press "Complete." This notifies you to approve or decline the payment. Money does not leave your account until you approve the payment.

What’s a verifier/person in charge?
If you are paying users through the app, you can appoint a verifier. A verifier can be a Head of Department (e.g., Head of Hockey) or a Referee Appointments Manager.

Can I invite preferred coaches and referees?
Yes, create the details of the game and invite the user via email. Details of the job will only be visible to the invited user and not to the wider database.

Can I create a team of users?
Yes, you can create a team that allows you to quickly invite users to jobs. You can add or remove users at any time as you build your network of coaches or referees.

What happens after I select an applicant?
When you create a session or jobs, users will apply for it. Once you’ve reviewed a profile and accepted an applicant, the job will move from "unassigned" to "assigned" in your profile. You will then be able to see the contact details of your preferred users.

Can I edit job/session details?
Yes, you can edit job details at any time.

How do I pay users through the app?
One hour after the session is complete, users press the "Complete" button in their profile. This sends you a notification, and you can choose to "Approve" or "Decline" the payment. If the user does not show up, you can select "Applicant did not show up" to remove the sessions from their account.

Can I rate my experience with a coach or referee?
Yes, you can give the user a thumbs up or down based on punctuality and professionalism.

Can I download transaction history?
Yes, you can download your full transaction history from your profile and export spreadsheets of completed jobs and sessions.

Is there a time limit to approve or decline payments if paying through the platform?
Our payment feature allows you to approve or decline payments in line with your payroll requirements. Once approved, funds will reach the user’s registered bank account within 3–4 business days.

Do users have Working With Children Checks?
Users can upload their Working With Children Checks to their profiles on the platform. However, it is the responsibility of the organization or club to verify these checks and ensure compliance with legal and regulatory requirements.

Can I report suspicious activity?
At Umphire™, safety is our top priority. If you encounter suspicious activity or observe a breach of our terms and conditions, please report it to us. We take such matters seriously and will promptly investigate any concerns raised.

What information do we collect?
We work with Stripe, the leading payment gateway provider, to ensure all transactions are processed securely. Stripe does not have access to your financial information.
When registering, we collect your school or club’s email address, telephone number, and physical address to connect you with the right opportunities.
Are there refunds?
Payment Policy: Payments must be made promptly upon game completion. In the event of a dispute, we will investigate and, if necessary, process a refund to the organization’s account.

What’s the minimum age to use Umphire as a coach or referee.
Users aged 13 and above can create an account. However, if you are under 18, a legal guardian must add themselves as the account owner on Stripe for you to receive payments.
What do I need to include in my profile?

A photo of you coaching or officiating.

I’ve applied for a job/session. What happens next?
Once you’ve applied, the organization will be notified. If successful, you will see the job details in "Upcoming in your app.

I’ve completed a session. How do I receive payment?
Press the "Complete Fixture" button one hour after the sessions ends. The organization will approve your payment, which will reach your bank account within 3–5 business days.
Is my profile public?
No. Your profile is only visible to organizations when you apply for a job or session.

How does the rating system work?
After each job, the organization can rate you with a thumbs up or down based on punctuality and professionalism.

I've created a profile however I can't apply for a session / job
A common issue is that your Stripe profile needs verifying. You must complete your stripe pay-out details to apply for sessions. You can apply for jobs without adding adding your pay-out details in Stripe.
